Vending Contract Checklist: 10 Questions

Short answer: Before you sign with a vending company, get clear answers on term length, auto-renewal, exclusivity, fees, service response, restocking, pricing, product requests, refunds, and removal. Get each answer in writing. Free equipment is the starting point, not the whole deal.

Many vending companies in Dallas–Fort Worth advertise free placement. The difference is in the contract and the service behind it: free install is standard, but service isn’t. Use these 10 questions to compare offers side by side.

Term and Commitment

1. How Long Is the Contract, and Does It Renew Automatically?

Ask for the start date, the end date, and the renewal rule. An auto-renewal clause can extend the agreement unless you cancel inside a short window. Write down the notice date so it does not pass by.

Texas Vending does not require a long-term contract.

2. Is the Agreement Exclusive?

An exclusive agreement can stop you from adding a coffee service, a smart cooler, or a second provider later. Ask what the exclusivity covers: one machine, one building, or every product category at your site.

3. What Happens If Service Falls Short?

Ask whether you can end the agreement early for poor service, and how. A fair contract states what counts as poor service and how much notice each side must give.

Cost and Fees

4. Exactly What Is Free, and Are There Any Fees?

“Free vending” should mean no cost for the equipment, delivery, setup, and ongoing service. Ask the vendor to confirm in writing that there are no hidden charges, such as:

  • monthly equipment or service fees,
  • sales minimums that trigger a fee,
  • restocking or delivery charges, or
  • removal fees at the end of the term.

At Texas Vending, equipment, delivery, and setup are free at qualifying locations, and there is no service fee. A location qualifies with at least 50 people in total foot traffic, counting employees and visitors.

5. Who Sets the Prices, and Can We Subsidize Them?

Ask who sets product prices, how they are set, how often they change, and whether you can subsidize items for your team. If you want a subsidy, get the billing method in writing.

Service and Stock

6. How Fast Do You Respond to a Broken Machine?

A machine that takes money and gives nothing back costs you goodwill fast. Ask for the response time in writing, and ask whether after-hours calls go to a local technician.

Texas Vending responds to reported service issues within 24 hours, including after hours. Our local technicians also repair machines no matter who supplied them.

7. How Often Do You Restock, and How Do You Know When?

A fixed calendar can leave slots empty between visits. Ask whether the equipment reports sales in real time. Texas Vending sets a restocking schedule for each location, and real-time monitoring tells us when a machine or market needs service.

8. Can Employees Request Products?

Your team knows what it wants to buy. Ask how product requests work and how long they take. At Texas Vending, we add specific products and brands when there is enough demand at your location.

Payments and the Exit

9. What Payment Methods Do the Machines Accept, and How Do Refunds Work?

Ask whether every machine takes cards, mobile wallets, and tap-to-pay. Then ask how an employee gets a refund for a failed sale, and how long it takes. All Texas Vending machines, micro markets, and coffee systems are cashless.

10. Who Removes the Equipment When the Agreement Ends?

Ask who removes the machines, how much notice they need, and whether there is a charge. This matters if you plan to switch providers, because the old equipment has to leave before the new equipment arrives.

  5. Price-setting and subsidy options
  6. Response time and after-hours coverage
  7. Restocking schedule and real-time monitoring

  9. Payment methods and refund process
  10. Removal terms at the end

Frequently Asked Questions

Is a free vending machine really free?

At qualifying locations, yes: the vending company pays for the equipment, delivery, setup, and service, and earns its money from product sales. Read the contract to confirm there are no fees, minimums, or removal charges.

How long are vending contracts?

Terms vary by company. Ask for the term length, the auto-renewal rule, and the cancellation notice period in writing. Texas Vending does not require a long-term contract.

Can I switch vending companies before my contract ends?

It depends on your current contract. Check the termination clause, the notice period, and who removes the old equipment before you schedule a new install.
